At most dental clinics, the card machine and the billing software have never met. A patient's bill is generated on screen, and then the cashier separately types that same amount, by hand, into a card machine standing right next to the computer — two systems doing the same job of "how much does this patient owe" without ever actually talking to each other. Every manual re-type is a chance for a typo, and a typo on a card payment is a real headache to fix.
First: is your machine actually a Pine Labs machine?
This genuinely isn't obvious from looking at it. Many bank-branded machines — from HDFC, Axis, ICICI and others — are co-branded with the bank's logo on the front but are built and operated by Pine Labs underneath. The fastest way to check is to look at the bottom of a printed card receipt for the words "Pine Labs," often in small print below the bank's branding, or to simply call the support number printed on the machine and ask directly.
The permission that actually matters: Cloud Integration
Having a Pine Labs machine isn't enough by itself — a separate permission called Cloud Integration (sometimes "Server-to-Server" or "API integration") has to be switched on for that specific machine before any software can push a bill to it. This is a one-time request made directly to Pine Labs or the bank that issued the machine, typically free, and it comes back with four pieces of information: a Merchant ID, Security Token, Client ID and Store ID.
What changes once it's connected
Instead of typing an amount, the cashier keys in a short reference code the clinic software generates — the machine pulls up the exact amount by itself. The patient taps or swipes as usual. The moment the machine confirms the payment, the bill in the clinic software is marked paid automatically, with no second step and no chance of the amount not matching.
Then this specific integration simply isn't available yet — billing continues exactly as it does today, with the amount entered manually. Nothing about the rest of the clinic's billing changes.
This is a genuinely rare feature among dental clinic software in India, precisely because most products stop at generating the invoice and leave the actual card payment as a separate, manual step at the counter. Closing that loop removes one of the last places a billing mismatch can creep in at the end of a busy day.
Frequently asked questions
How do I check if my existing card machine is a Pine Labs machine?⌄
Check the bottom of a printed payment receipt for "Pine Labs" in small print, look for a Pine Labs or Plutus logo on the machine's startup screen, or call the support number on a sticker on the machine and ask directly.
Does enabling Cloud Integration cost anything?⌄
It's usually a free, one-time request to Pine Labs, though terms can vary — confirm directly with Pine Labs or your bank when you call.
What if the connection fails mid-payment?⌄
If the machine times out or the patient cancels, nothing is lost — the cashier simply collects the payment manually instead, exactly as before the integration existed.
Can this work alongside Razorpay QR billing?⌄
Yes — a clinic can connect both independently and choose whichever makes sense for a given patient: Pine Labs for a card/UPI tap at the counter, Razorpay QR for a UPI scan.
