Connecting Your Pine Labs POS Machine
No technical knowledge needed — this walks you through finding out whether your card machine is a Pine Labs machine, and connecting it to AmritSmile, step by step.
1. What does connecting Pine Labs actually do?
Right now, when a patient pays by card or UPI at your front desk, your staff types the amount into the card machine by hand, and separately marks the bill as "paid" inside AmritSmile. Two manual steps, two chances for a typo or a missed entry.
Once your Pine Labs machine is connected, AmritSmile sends the bill amount straight to your machine the moment you click "Collect via Pine Labs POS" — your cashier just enters a short code on the machine to pull it up, the patient pays as usual, and AmritSmile marks the bill as paid by itself, automatically, the second the machine confirms it.
This is entirely optional. If you never connect it, or your machine isn't a Pine Labs machine, nothing changes — billing works exactly the way it does today.
2. First, check: is your card machine actually a Pine Labs machine?
Many banks (HDFC, Axis, ICICI and others) hand out card machines that are co-branded with their own logo on the front, but are actually built and run by Pine Labs underneath. So "my bank gave me this machine" doesn't tell you the answer — here's how to actually check:
- Look at a printed receipt
Take any card payment receipt your machine has printed. Look at the very bottom. If it says "pine labs" (sometimes small, under the bank's logo), it's a Pine Labs machine.
- Look at the machine itself
Some machines show "Pine Labs" or "Plutus" on the screen when it starts up, or printed on a sticker on the back/bottom of the device.
- Call the number on the machine
Every machine has a support/helpline number printed on a sticker on it, or in the welcome kit you got when it was installed. Call it and simply ask: "Is this a Pine Labs machine, and can you enable Cloud Integration / API access on it?"
- Not sure even after this?
That's fine — skip this whole guide. Your billing in AmritSmile will keep working exactly as it does today, manually. You can always come back to this later.
3. Ask Pine Labs to switch on "Cloud Integration" for your machine
Having a Pine Labs machine on your counter is not enough by itself — software like AmritSmile needs a separate permission turned on for your specific machine, called "Cloud Integration" (sometimes called "Server-to-Server" or "API integration"). This is a one-time request you (or whoever manages your card machine) need to make directly to Pine Labs.
- 1
Call Pine Labs support, or your Relationship Manager if you have one, or the bank that gave you the machine.
- 2
Tell them: "I want Cloud Integration / API access enabled on my machine, so a third-party billing software can push transactions to it."
- 3
They will ask for your business/clinic name, the machine's serial number or TID (also printed on the machine or on a receipt), and your GST number.
- 4
Also give them this exact web address as your "callback/postback/webhook URL" — this is how Pine Labs tells AmritSmile a payment is done: https://api.amritsmile.com/api/v1/pinelabs/webhook (same address for every clinic, nothing to customise).
- 5
This is usually a free, one-time request — Pine Labs doesn't typically charge extra for turning this on, but confirm with them directly since terms can vary.
4. What Pine Labs will give you back
Once they've enabled it, Pine Labs will give you four pieces of information — usually over email or through their support team. Think of these as a username and password for your machine; anyone who has them can push bills to it, so treat them like you would a bank password and don't share them outside your clinic.
- Merchant ID
A number that identifies your business to Pine Labs.
- Security Token
A long, secret code (looks like a jumble of letters and numbers) — this is the "password" part. Keep it private.
- Client ID
Identifies your specific machine/terminal.
- Store ID
Identifies your clinic's location/branch with Pine Labs.
5. Enter these details in AmritSmile
Once you have all four values from Pine Labs, connecting takes under a minute:
- 1
Log in to AmritSmile and click your profile picture/icon (top of the sidebar).
- 2
Click "Billing & Transactions", then "WhatsApp Subscription" area — just below it, click "Connect POS Machine".
- 3
Paste in the Merchant ID, Security Token, Client ID and Store ID exactly as Pine Labs gave them to you.
- 4
Click "Connect". You should immediately see a green "Connected" badge.
6. How it works once connected
From then on, whenever you generate a bill for a patient and tick "Collect payment now":
- 1
A new checkbox appears — "Collect via Pine Labs POS". Tick it instead of picking Card/UPI/Cash manually.
- 2
Click "Generate Bill" as usual. A short code appears on screen (this is NOT the amount — just a reference code).
- 3
Tell your cashier to key that exact code into the Pine Labs machine. The machine will pull up the correct amount by itself — no one needs to type the amount in.
- 4
The patient pays by card or UPI on the machine as normal.
- 5
The moment the machine confirms the payment, AmritSmile marks the bill as paid automatically — no extra step.
- 6
If the patient cancels, or the machine times out, nothing is lost — you can simply close that and collect the payment manually instead, same as before.
7. Common questions
- Is my Security Token safe with AmritSmile?
Yes — it's stored encrypted, the same way we protect your WhatsApp account connection. It is never shown back to you or anyone else after you enter it once.
- What if I never connect this?
Nothing changes. You keep billing exactly as you do today — this entire feature is optional and off by default.
- What if my machine isn't actually a Pine Labs machine?
Then this feature simply isn't available for your clinic right now — billing continues manually, as normal.
- Can I disconnect later?
Yes, any time — go to the same "Connect POS Machine" screen and click "Disconnect".
- Does this cost extra?
AmritSmile doesn't charge anything extra for this. Any charges for enabling Cloud Integration are between you and Pine Labs — ask them directly when you call.
Message us on WhatsApp support or email amritsmile@support.com — we're happy to call Pine Labs with you if needed.
